What Is Meta Business Suite and How to Use It

Monday, 8:40 a.m. You run the Pages of four businesses: a pizzeria, a barber, a dental practice and a flower shop. The pizzeria has three unread messages about table bookings, the barber wants to know why Wednesday's post never went out, and the flower shop asks how many people saw its Teachers' Day promotion (Poland celebrates it on October 14). Every one of those answers sits in one place: Meta Business Suite.

Meta Business Suite is Meta's free panel for running a business Facebook Page and Instagram account from a single window. You plan posts in it, reply to messages and comments, read insights and manage who else has access. It works in the browser at business.facebook.com and as a separate mobile app.

In short: Business Suite is enough to run one or several Pages inside Meta's apps. Since September 2026 Meta sells some features (longer scheduling, links in organic posts, exportable insights) in paid Meta One plans, charged separately for each account.

In our guide on how to schedule Instagram posts we compared scheduling in the app, in Business Suite and in third-party tools. Here we cover the whole tool: what is inside, how to set it up for a client and how to organise a working week in it.

What is Meta Business Suite and what is it for

Meta Business Suite brings five daily jobs into one panel: publishing, scheduling, handling messages, insights and ads. According to Meta's help centre, it covers Facebook, Instagram, Threads and WhatsApp, it is free on desktop and in the mobile app, and it requires a business portfolio (formerly Business Manager, still at the same address).

The main modules you will see in the left-hand menu:

ModuleWhat you do thereWhen you use it
HomeTo-do list, recent and scheduled posts, notificationsAt the start of the day, to see what is waiting
ContentPosts and reels by status: published, scheduled, draftsWhen you edit or move a scheduled post
PlannerWeekly or monthly calendar for Facebook and InstagramWhen you lay out the week
InboxMessages from Messenger, Instagram and WhatsApp Business, plus commentsSeveral times a day
InsightsReach, activity on your content, audience dataOnce a week, for the client report
All toolsAds Manager, billing, Page and business settingsFor ads and access management

Why does this matter so much in Poland? According to the Gemius Social Media 2026 report, Facebook reached 85.4% of Polish internet users and Instagram 54.8%. Businesses are there too: Statistics Poland (GUS) reports that in 2025, 48% of enterprises in Poland used social media. If you handle several of those businesses, Business Suite is your default workplace, because every client Page already lives in Meta's ecosystem.

One distinction will save you a lot of frustration. Business Suite is for daily work with content and messages. Business settings (the business portfolio) are the back office where you assign Pages, Instagram accounts and people. Ads Manager is a separate, much larger campaign tool that Business Suite only links to.

How to start using Meta Business Suite step by step

To begin you need three things: a Facebook business Page, a business portfolio and content permissions on that Page. Without content permissions the Planner simply does not appear, which Meta states plainly in its help centre.

The order that works with a new client:

  1. The business owner logs in at business.facebook.com with the account that manages the Page. If there is no business portfolio yet, Business Suite walks them through creating one.
  2. Connect Instagram to the Page. Without it, Instagram publishing and the shared inbox will not work. The most common connection errors, including "account already connected", are covered in our guide on how to connect Instagram to Facebook.
  3. Ask for task access instead of a password. The owner invites you in business settings and chooses what you can work on: content, messages, insights, ads. The differences between full control, partial access and task access are explained in how to add an admin to a Facebook Page.
  4. Pick the Page from the menu in the top-left corner. If the Page and Instagram are connected, they appear together as one asset.
  5. Check the Planner. If you cannot see it, it almost always means you lack content permissions on that Page.

An example from Katowice: a renovation company spent two years handing successive contractors the login and password to the owner's personal account. After switching to task access, the new marketing person got content, messages and insights. Ads and payments stayed with the owner, and ending the collaboration means removing one person from a list, with no password change.

While you are setting things up, review the list of people with access. Pages with many admins are a favourite target for fake "Meta" messages, as we described in our piece on phishing attacks on Page admins.

A working week in Business Suite: Planner, Inbox, Insights

The biggest time saver is a fixed rhythm: plan once a week, reply daily, report once a week. Each of those blocks has its own place in Business Suite.

Monday: the Planner and a week of posts

You create a post with the Create post button on the home screen or in the Content tab. You choose where it goes (a Facebook Page, an Instagram profile, even a Facebook group), add photos and write the text. You can tailor the text separately for Facebook and Instagram. That helps, because hashtags and caption length work differently on Instagram than on a business Page.

In the scheduling options you set the date and time. The active times button suggests when followers were most active recently. Treat it as a starting point, and for a rhythm that fits a specific industry go back to our tables of the best times to post.

The freelancer from Łódź who runs the four Pages from our opening does it like this: Monday from 9:00 to 11:00, half an hour per client. The pizzeria gets three posts (lunch menu, behind the scenes in the kitchen, a weekend offer), the dental practice gets two. Then she opens the monthly view in the Planner and spots the gaps straight away.

Every day: the Inbox

The Inbox collects messages from Messenger, Instagram Direct and WhatsApp Business plus comments under posts in one view. That has a practical side: according to Gemius, more than 72% of Polish internet users use Messenger, so that is where pizzeria customers write about a table for Saturday.

On a Friday evening, booking questions can arrive from three channels at once. Set up automated replies outside business hours in the Inbox so nobody waits in silence, and pass anything the owner has to decide straight to them. Two fixed inbox check times, for example 12:00 and 18:00, are enough for most local businesses.

Friday: Insights and a short report

Insights show trends, activity on your content and audience data. A beauty salon does not need twenty charts. Comparing three things each week is enough: reach, the number of messages and which posts triggered them. If before-and-after photos keep bringing enquiries and posts with only a price list do not, you have a ready conclusion for next week.

This is also a good moment to talk to the client about Facebook's role. According to IAB Poland, 61% of respondents look for information about products and services on Facebook and 36% on Instagram, so a report covering both channels shows two different customer behaviours.

Meta One: what the paid subscription changed in Meta Business Suite

Meta Business Suite is still free, and on 15 September 2026 Meta announced the Meta One subscription, in which it sells some additional features. In Meta's announcement the company says the core experience stays free, while the Advanced plan starts at USD 49.99 a month and adds scheduling stories up to 30 days ahead, links in organic posts and reels, exportable insights and team access without sharing a password.

There are four business plans:

Meta One planStarting price (USD/month)Aimed at
Essential14.99Verification, badge, impersonation protection
Advanced49.99Advanced publishing and insights
Expert149Teams, larger scale
Max499The widest feature set

The prices in the table come from the same Meta announcement. Meta notes that plans, prices and availability vary by region, app and account, so the amount for an account based in Poland only shows up during checkout.

For freelancers and agencies, the billing model is what matters. As The Keyword reports, the plans are sold per account, and a subscription lets you schedule posts and reels up to a year ahead. Running four clients on Advanced therefore means four separate subscriptions.

So split the decision in two. Everyday publishing, scheduling posts over a shorter horizon, the Inbox and basic insights all work without a subscription. A paid plan makes sense for a client who genuinely needs clickable links in posts or exportable data for reports, and that client should be the one paying for it.

The limits of Business Suite with several clients

Business Suite works well for one brand and gets tiresome with several. The reason is simple: you always work in the context of one Page, which you pick from the menu in the top-left corner.

Three limits anyone handling several businesses will feel:

  • No shared calendar across clients. The Planner shows the selected Page, so reviewing the week of four businesses means four switches and four views.
  • Meta apps only. You cannot schedule Google Business Profile or LinkedIn posts here, and for a dental practice the Google profile can matter more than Facebook.
  • Client knowledge stays in your notes. Business Suite does not store a brief for each business (offer, tone, price list), so for every post for the flower shop and the barber you go back to separate documents.

None of this rules the tool out. Business settings, task access and the Inbox stay in Business Suite whatever you use to schedule posts.

How SyncBooster complements Business Suite

With SyncBooster you plan and prepare posts for all your clients in one panel, and keep Business Suite for messages, access and ads:

  • each client is a separate brand with its own business knowledge (offer, tone, customer group), so the assistant writes posts for the pizzeria differently than for the dental practice; the number of brands depends on your plan;
  • you connect a client's accounts through a connection link (or QR code) that the client opens on their side, without giving you a password, as described in our guide on how to connect social media accounts;
  • one calendar covers Facebook, Instagram, Google Business Profile and LinkedIn.

Running several Pages and tired of switching accounts every Monday? Create a SyncBooster account and prepare a week of posts for all your clients in one calendar.

Checklist: Business Suite for a new client

  • The client's Page sits in their own business portfolio, and full control belongs to the owner and a second trusted person on their side
  • Instagram is connected to the Page and appears with it in the selection menu
  • You have task access with content, messages and insights permissions, without the client's password
  • The Inbox has automated replies set up for outside business hours
  • You have agreed with the client whether they need a paid Meta One plan, and who pays for it

Frequently asked questions

Is Meta Business Suite free? Yes. The tool itself, publishing, scheduling posts, the Inbox and insights are free. You pay for ads and for the optional Meta One plans, which add, among other things, a longer scheduling horizon, links in organic posts and exportable insights.

How is Meta Business Suite different from Ads Manager? Business Suite is for daily work with content, messages and insights. Ads Manager is a separate tool for building and paying for campaigns, which Business Suite links to from the All tools section.

Why can't I see the Planner or my Page? Usually you lack content permissions on that Page, or the Page is not assigned to the portfolio you are working in. Ask the owner for task access with content permissions.

Can I use Business Suite on my phone? Yes, Meta offers a separate Meta Business Suite mobile app. It is handy for quick inbox replies and checking scheduled posts, while bigger planning sessions are easier on a computer.

Do I need the client's password? Task access, granted by the client in business settings, is all you need. They can revoke it at any time without changing their own password.

Meta Business Suite is a solid base you will set up for every client with a Facebook Page anyway. Configure access and the Inbox once, properly, and organise scheduling so that a Monday with four clients is done before lunch.
