How much time do businesses spend on social media when we stop asking how busy the work feels and look at the workflow itself? We examined 308 post projects recorded between February 27 and August 5, 2026. The part we measured ran from a user's request to the first publish or schedule action.
The median for projects that could be matched unambiguously to a starting message was 1 minute and 45.5 seconds. That result needs context. It covers work inside the application: producing a version, reviewing it and deciding when it should go out. It excludes taking photos, replying to comments and analyzing results after publication.
The data shows a fast middle of the distribution and a long tail. A team can reclaim time only after it measures production, approval and waiting separately.
That distinction matters to freelancers, small agencies and in-house marketers. Writing the caption is one stage among several. The measured interval begins with the last user message before a post project was created and ends with the first publish or schedule action. We could make that match for 130 of the 145 projects that reached one of those actions.
The analyzed dataset contains 308 projects, 568 content versions, 7 user accounts and 9 brands. The observation window ends on August 5, 2026. We did not read post copy, company names, email addresses or user identifiers. The analysis used timestamps, version counts and the number of selected channels.
We applied three rules:
Those rules excluded 15 completed projects and left 130 observations. The sample is highly concentrated: 94.8% of projects came from the three most active brands. These results describe active users in this dataset. They do not estimate an average for all Polish or European small businesses.
Consider a freelancer running social media for a restaurant in Poland. She sends a request based on a dish photo, reviews the resulting copy and schedules it for lunchtime. We can see that closed interval. We cannot see the earlier conversation with the chef, photo editing or the later replies to comments.
The median journey from a request to publishing or scheduling was 105.5 seconds. Half of the observations fell below that value, while the upper quarter took at least 29 minutes. The distribution therefore has a long tail.

The first quartile was 41.3 seconds and the third was 29 minutes and 0.1 seconds. That distance between quartiles suggests that delayed projects do more than run slightly slower. Some enter a different working pattern: a person pauses the decision, waits for information or returns to the tab later.
Imagine a specialist preparing a post for a car detailing business. The first version is ready, but the package price and next available appointment are missing. A message to the client starts a wait. The clock may show an hour even though writing occupied only a small part of it.
This is why the median is more useful than the mean here. One project left open overnight can pull the mean upward even though nobody worked on it continuously. In an operations report, show the median and the share of posts that exceed your chosen limit, such as one business day.
In 218 of 308 projects, or 70.8%, the database recorded one content version. The other 90 projects, or 29.2%, had at least one further version. A single recorded version does not tell us whether a post performed well. It does show that repeated rewriting was absent from most project histories.

Altogether, 181 projects, or 58.8%, targeted at least two channels. This is a practical opportunity to reduce repetitive work. Copying the same caption by hand is incomplete because channels differ in length, rhythm, link behavior and the role of the call to action.
An in-house marketer at a beauty salon in Rzeszów might have one photo of a new treatment result. On Instagram, the caption should encourage a save or direct message. On the company's Google profile, a customer needs to find the service and a reason to call quickly. The underlying facts stay consistent, but the finished posts do different jobs.

Survey estimates are much larger because they ask about a broader range of work. They may include filming, editing, publishing and day-to-day community management. You cannot subtract our in-app workflow time from those self-reported weekly totals.
In a UK Censuswide study of 501 small business owners and tradespeople, 77% managed their own social media, 54% spent 1 to 3 hours per week creating content and 11% spent 4 to 7 hours. The study covered people who use social media to market their business.
That benchmark relies on what respondents reported. Our measurement relies on timestamps but sees only one part of the job. The comparison creates a useful picture: producing a version and choosing a publication time can move quickly, while materials, approval, audience conversations and performance review still consume hours.
For a small agency, that difference belongs in the scope and price. A restaurant that supplies approved photos and current prices creates a different workload from one expecting an on-site shoot, short-video editing and daily comment moderation. The number of posts in a package does not capture the full effort.
The logs alone cannot reveal why a user returned to a project later. You find the cause by separating active work from waiting between stages.
The handoffs between stages often offer the largest saving. A caption may be ready while publication waits for a decision owner, a current price or permission to use a customer's image.
For one week, record four separate categories:
A renovation company may discover that captions move quickly while most delay begins with project photos scattered across the crew's private phones. A faster writing assistant solves only part of that bottleneck. The company also needs a shared folder and a basic rule: after handover, the site lead uploads three photos and one sentence describing the job.
Set two separate metrics as well. Active working time is measured with a timer or calendar blocks. Lead time is the interval from idea to publication. A team might spend 12 active minutes on a post and publish it 2 days later. For today's lunch offer, the second measure matters more.
